Bulk Creating User Profiles

Creating profiles for or inviting each member of your team individually can be a long and tedious process. To save time and streamline the process, we allow you to bulk create user profiles, giving you the opportunity to have complete control over your team's profiles while minimizing the amount of time you spend getting the team set up.

As a best practice, we recommend creating all users in a management role (such as Admins or Team Leaders) profiles first. That way, when you create additional users you can assign them to the correct team simply using their Team Leader's email address or custom employee ID.

How to Bulk Create User Profiles:

  1. On the Manage Team page, click on the Add Users button and select Bulk Create Users from the dropdown menu.


  2. On the Bulk Create page, download the template file and open it in Microsoft Excel, Apple Numbers, or another spreadsheet software.

  3. Add a row for each new member of your team you'd like to create a profile for in Stella Connect.

The following fields marked with an asterisk are REQUIRED for each employee:

  • *Role: Enter one of your organization’s Roles for this user which will determine their permissions and data visibility - please note the Role name needs to match what is currently active and available within you organization’s instance of Agent Connect

  • *Can Manage Teams: Enter y or n to determine whether this user can manage teams which will make them available in the hierarchy to serve as a Team Leader.

  • Email Address: Enter the email address which will be associated with the user profile and which will be used to deliver system notification emails.

  • Employee ID (if applicable): Enter an employee ID which may be used as a unique identifier for the user

    • Note: Either an email address or Custom Employee ID are required to have a unique identifier for the user

  • *First Name: First Name will be used to identify the user and will be displayed as part of the Feedback survey.

  • *Last Name: Last Name is used to identify the user and will not be displayed externally in the Feedback survey.

  • Home Town: Optional inclusion of the user’s home town

  • State or Country: User’s location used to personalize their profile within the Feedback survey.

  • Profile: User bio displayed in the Feedback survey to personalize the survey experience and gather feedback about the user.

  • *Phone Channel: (y/n)

  • *Chat Channel: (y/n)

  • *Email channel: (y/n)

  • *Team Leader: Select the individual who will act as the Team Leader for this user. The user will report to their Team Leader in reporting and their data will be included in the performance reporting of their Team.

  • Employment Status: Enter the employee’s status (Full Time, Part Time, or Temp) to track their status within their profile

  • Start Date: Enter the user’s start date with the company to be able to reference their tenure with your organization.

  • Group Assignments: List the Groups that the user should be assigned to when their use is created. Groups should be listed in brackets {} and can be comma separated.

  • Temporary Password: Option to set a temporary password for the profile

  1. After entering all of the user profiles to be created, save the edited file as Unicode text or UTF-16 Unicode. This is absolutely necessary or the file cannot be uploaded!

  2. Upload the file in Agent Connect

  3. Determine if you wish to delay the delivery of the welcome email for the batch of users in the file using the ‘Delay welcome emails’ setting

  4. Select Preview

  5. Within the preview review the data shown to double check that everything is correct. If there are any errors in the file they will be flagged on the preview page before processing the records. To correct any errors please edit the file, save the new version, and then reupload to the Bulk Create page.

  6. Click the Continue button to finish!

Once the user profiles have been created, each new user will receive a welcome email inviting them to set their password. If the profile bio, state or country, and a profile picture have not already been added for them, the new team member will be asked to complete their profile. If all required fields were already filled in by an Admin, new team members will be taken directly to the Stream after they've set a password, and they can begin sending out Connect requests!

Notes:

  • Profile photos cannot be added in bulk. You can either create all users and then add the photos to each profile yourself or have each team member upload their own photos.

Best practices

It's vitally important to keep your reporting relationships accurate within Agent Connect by ensuring that your team's hierarchy is correct. This ensures that you're able to observe trends over time and understand which teams are improving or need coaching. For larger teams, we typically find clients doing a weekly sync so that their team hierarchy and team member profile information stays up-to-date.
